The state you found it in, on the record

The photograph of the cupboard before you touched it is worth more than any invoice line when somebody disputes what you did. This keeps photos, video and voice notes against the job itself — taken on a phone on site, grouped by whether they were before, during or after, and private until you decide otherwise.

What it does

What can be put on the record?

Photographs, video and voice notes, taken on a phone on site or added from the office. There is no size cap on job media, because one phone video is hundreds of megabytes and a limit that refuses it is a limit that stops people using the feature at all.

Is any of it visible to the customer by default?

No, and that matters more than it sounds. Everything is internal until somebody deliberately marks it to share. An engineer photographing the state they found a cupboard in is protecting the business, not publishing — and a business that finds its internal shots went out attached to an invoice never uses the feature again.

How does the customer see the ones I do share?

As a link to a page showing the chosen items, reading live. Not attachments: an email cannot carry a phone video, and more importantly a link means withdrawing an item actually removes it from a copy you sent three weeks ago. The same chosen items can be shown on the invoice they are already opening to pay.

Does it know what stage a photo was taken at?

Yes — before, during, after — and anything from before stages existed sits in its own group as unknown rather than being filed as "during". Inventing a history is worse than admitting there is not one.

What happens to the evidence when the job is finished?

Nothing. Completing the job, invoicing it, crediting the invoice, or the customer declining extra work all leave every item exactly where it is. A customer saying no is precisely the moment the proof matters most.

Can I require a photo before a job can be marked finished?

Yes, as a setting. For some trades that is the whole point — a record of every installation, every time, without relying on anybody remembering. For others it would be a daily annoyance, so it is off unless you turn it on.

What it does not do

Worth knowing before you spend an afternoon on it rather than after.

It is not a photo gallery or an album. Items belong to a job, and there is deliberately no "export everything" that a renderer could reach for by mistake and send the lot to a customer.

There is no annotation, drawing or arrow tool on a photo. What you took is what is kept.

It does not store patient, clinical or safeguarding records, and should not be used as if it does.

Photos are not automatically attached to emails. Sharing is a link to live data, which is what makes withdrawing an item actually work.

Questions, answered

Can the customer see every photo on a job?

No. Everything is internal by default and only the items you deliberately mark as shared ever reach a customer.

Is there a size limit on video?

No cap on job media. One phone video is hundreds of megabytes, and a limit that refuses it would stop the feature being used.

How are shared photos sent?

As a link to a page showing the chosen items, reading live data — so withdrawing an item removes it from a copy sent weeks ago. They can also appear on the invoice the customer opens to pay.

Can I insist on a photo before a job is completed?

Yes, as a setting. It is off by default, because for many trades it would be a daily annoyance rather than a safeguard.

What does it cost?

£29.99 a month for the whole business — every feature, every person, no add-ons and no per-user pricing. 60 days free and no card to start.
