The year-end records your accountant asks forNew
One file with the records behind your figures — and an honest list of what is not in it.
Written 23 October 2026
At year end your accountant asks for the same things every time: sales, costs, what is still owed, the receipts. This puts them in one file, says what each one was filtered on, and — the part that matters — lists what TaskMyJob does NOT hold, so nobody finds out after you have sent it.
Step by step
- 1
Go to Business Health, then Year-end.
- 2
Check the year at the top is the right one.
It uses your own year end. If you have not set one it uses the tax year to 5 April and says so, with a link to set yours.
- 3
Read what is in it, and what is not.
Both are on the page before you download anything. The second list is the useful one.
- 4
Put your own documents in Documents first.
Bank statements, payroll reports, an asset list. They are carried in the pack, in their own section, so your accountant gets one parcel rather than a parcel and an email.
- 5
Press Download the records pack.
- 6
Or give your accountant a sign-in and let them take it themselves.
They see the money and none of your customers’ details. See “Give your accountant a sign-in”.
Worth knowing
This is not a set of accounts, and it never will be
Xero, Sage and QuickBooks produce the statements — profit and loss, balance sheet, trial balance. This is the layer underneath them: the source records and the evidence behind the figures. A retention schedule by invoice. The labour and materials split on every CIS line. Costs attached to the job they were bought for. Hours, visits, who was on site. Your accountant needs both, and only one of them comes from here.
TaskMyJob does not file anything with HMRC
It is not HMRC-recognised and it submits nothing, anywhere. The pack says so on its own front page, where somebody is about to read it rather than in a footnote.
What is deliberately not in it
No bank transactions or reconciliation, no payroll or PAYE, no fixed-asset register, no stock valuation, and no opening balances. A limited company will not find its director’s loan account here either. Every one of those is named in the pack with where to look instead — because “I did not know you only had half of it” is the complaint that ends a professional relationship.
Each schedule says what it was filtered on
“Invoices” could mean issued in the year, raised in it, or paid in it, and the three give different totals. Every schedule states which, in its own words, so nobody reconciles to a figure that was never claimed. Standing costs are the exception and are carried whole — a standing cost is what recurs, not something that happened in the year.
Your own documents are carried, never read
Nothing in TaskMyJob opens a bank statement you attach, reconciles it, or adds it into any figure in the pack. They are listed in their own half of the contents page and left exactly as you uploaded them. We are a courier for those, not a bookkeeper.
It is behind a sign-in, not a link
Quotes and invoices have share links because a customer needs to see their own. A year of your financial position does not get one — the only thing standing between that and the world would be nobody guessing the address. You download it, or your accountant signs in.
A bill nobody has answered is not counted as owed
The costs schedule says Paid, Still owed, or Not said, and they are three different answers. Nothing here assumes an unanswered bill is unpaid. See “What you still owe your suppliers”.
