What you still owe your suppliersNew

Tick a bill off when you pay it, and the app can tell you — and your accountant — what is still outstanding.

Business owner

Recording a bill says the money is owed. Ticking it off says it has gone. Without that second half nobody can answer “how much do we owe our suppliers”, which is half of what an accountant needs at year end — and it is the half most small businesses keep in their head.

Step by step

  1. 1

Go to More, then Costs & overheads.

  2. 2

Find the bill and use the dropdown beside it.

Three answers: Paid, Still owed, or Not said. It starts on Not said, because nobody has been asked yet.

  3. 3

Set the ones you have paid to Paid.

They drop straight out of the owed figure.

  4. 4

Set the ones on account to Still owed.

Those are the only ones added up. A merchant account on 30-day terms is the usual case.

  5. 5

Read the Owed to suppliers card at the top.

It gives the total, how many bills it is made of, and separately how many you have not answered yet.

  6. 6

Put one back to Not said if you tick it by mistake.

    Nothing here is one-way.

Worth knowing

A bill you have not answered is NOT counted as owed

This is the whole design and it is worth understanding before you look at the figure. Every bill you recorded before this feature existed, and every one you have not got to, sits on “Not said” — and the app refuses to guess. If it assumed they were unpaid, the first thing your accountant would read is that you owe every bill you have ever entered, including merchant accounts you settled years ago. So they are counted and valued SEPARATELY, in their own line, and left out of the total.

You do not have to go back through old bills

Start from today. The unanswered line tells you how many are outstanding so the figure is honest about what it speaks for, and it shrinks as you work through them — or stays there harmlessly if you never do.

A bill with no amount keyed in is said out loud too

If you photographed a bill and have not typed the figures, it cannot be added to anything. It is counted and named rather than quietly treated as nothing, the same way an uncosted line works everywhere else in the app.

Marked unpaid but carrying a payment date

If a bill ever ends up in that state, the app says so in red rather than picking whichever answer it likes better. It is a contradiction a person needs to look at, not one software should resolve behind your back.

This is not a purchase ledger

There is no supplier account, no statement matching, no remittance. It answers one question — what is still owed — and your accountant's software does the rest.
