Settings and your account

Give your accountant a sign-inNew

Your accountant can sign in and see the money without seeing your customers, your diary or your job photos. Access runs for twelve months and then stops on its own.

Business owner

At a year end your accountant asks you for the same things every time — your sales, what you were paid, what you spent, your CIS statements. Rather than exporting it and emailing it over, you can give them a sign-in of their own. They see the money and none of the rest of your business.

Step by step

  1. 1

    Go to Settings, then Team.

  2. 2

    Press Add staff.

  3. 3

Put in their first name, surname and email.

Use the address they actually work from. If they already have a TaskMyJob login — because another of their clients uses it — this is added to the account they already have, and there is no second password for them to keep.

  4. 4

    Choose Accountant as the Role.

The tick boxes below become irrelevant: an accountant always gets the same thing, whatever is ticked. That is deliberate and is explained below.

  5. 5

    Press Add staff to finish.

Worth knowing

What they can see, and what they cannot

Invoices, payments, credit notes, and the Business Health reports — which is your costs, your profit, your VAT position and your period ends. They cannot see your customer list, your jobs, your diary, your quotes, your job photos or your settings. Your customers' NAMES do appear, because a name is on every invoice and a ledger without them is no use to anybody; their addresses, phone numbers and email addresses do not.

You cannot widen it by accident

The Add staff form offers tick boxes for what somebody can see, and for an accountant they are ignored. Ticking Customers would hand a third party every address and phone number you hold, which is not what anybody means when they give their accountant access to the books. If you genuinely want somebody to see more than the money, add them as Office Staff instead and choose what they see.

Access ends after twelve months

It is set when you add them and you do not have to type a date. Twelve months rather than a tax year, because access ending on 5 April would cut out in the middle of the year-end work that follows it. The Team page shows the date coming up in the last month, and says Access ended once it has passed.

When it ends, they are told what happened

They are not quietly logged out. They see a page naming your business, the date their access ended, and that it is you who renews it — so your first warning is not a phone call asking whether something is broken.

Removing them keeps the record

Remove from team takes away the sign-in and leaves everything they ever did in your activity log under their name. The same rule applies to anybody who leaves: the history is yours and it does not get rewritten.

We do not file anything for them

TaskMyJob is not HMRC-recognised software and does not submit returns. What it holds are your records and the figures that come out of them. Your accountant files the way they file now, from the software they already use — and TaskMyJob connects to Xero, QuickBooks and Sage so your invoices and payments reach it.
