Add your team and decide what they can see

Invite people, choose their role, and tune exactly which parts of the app each one reaches.

What is said in this recording

Everyone who works for you gets their own login. The role you give them decides what they see by default, and you can then add or remove individual areas for any one person.

Step by step

  1. 1

    Go to Settings, then Team.

  2. 2

Press Add and enter their name and email address.

  3. 3

    Choose a role.

Owner sees everything including Settings. Office Staff runs the business day to day — enquiries, customers, quotes, jobs, invoices — but not Settings. Your field team gets their own jobs board and nothing else.

  4. 4

Adjust what they can reach, if the role default is not right.

Tick or untick individual areas. This overrides the role, so an office person can be given Reports, or kept out of Payments.

  5. 5

    Send the invitation.

They receive an email with a link to set their own password. You never see or set it.

  6. 6

Give the people who go out a reference code, if you use them.

A short code like JS01 that appears on the customer's booking confirmation so they know who is coming.

Worth knowing

Everyone must set up two-factor authentication

The first time anyone signs in they are asked to enrol with an authenticator app. It is not optional and it cannot be turned off — this is somebody's customer list and bank details.

If the invitation never arrives

Their row says “Not set up” until they have signed in. Press the @ button on it to check the address and send a fresh link — the old one stops working. If the email could not be sent at all, the app says so on screen and in the Activity log, with the mail server's reason.

Your own work is always yours

Anyone given a job, a telephone appointment or an online meeting can open and work it, whether or not you granted them the team jobs board. What the board permission controls is whether they see everybody else's work as well.
