Book an appointment
A booking at one price with no quote behind it — including telephone and online.

What is said in this recording
An appointment is a booking at a set fee with no line items — a treatment, a consultation, a call-out to price the work. Use it when there is nothing to itemise and the price is simply the price.
Step by step
- 1
Go to Appointments and press New appointment.
- 2
Choose the customer.
- 3
Say what it is for, or pick one of your services.
Picking from your price list fills the fee in for you at the right price.
- 4
Choose where it happens.
At the customer's address, at your premises, by telephone, or online. Telephone and online only appear in this list if you have turned them on in Settings.
- 5
For an online meeting, paste the joining link.
Paste the whole Zoom or Teams invitation if that is easier — the link is picked out of it. Leave it blank to use your business's standing meeting room.
- 6
Set the fee, and whether it is paid up front or invoiced afterwards.
Paid up front means the customer settles before the slot is held. No charge is also an option.
- 7
Set how long to allow, so the diary blocks the right amount of time.
- 8
Choose who is doing it.
For a telephone or online appointment, anyone on your team can be picked — office staff appear under their own heading. For a visit, only people who go out.
- 9
Either set the time yourself, or let the customer pick from your calendar.
If you fix the time, you must name the one person going. If the customer picks, you can tick several people and they are offered whichever calendar fits.
- 10
Press Create & send to customer, or Create without sending.
Worth knowing
A phone or video appointment is on nobody's route
It has no address, so it is skipped by routing, travel padding and the service radius, and it never makes somebody's day look unmeasurable in the reports. That is the whole point of recording it as one.
An appointment fee includes VAT
The fee is what the customer pays in total. Picking one from your price list grosses the stored price up for you, so the number in the box is always the full price.
