Cleaning businesses

Software for cleaning businesses

Most of this work is done by two people rather than one, in a building the customer is not in, to a standing arrangement nobody re-agrees each week. All three are things scheduling software usually assumes away — it books one named person, for a customer who will be there, on a job somebody quoted.

What is different about this trade

Recording a second person on a job without counting them busy is worse than not recording them at all, because their own diary then shows them free while they are standing on a site. A visit here holds a lead and anybody else who is on it, and every one of them is asked the same three questions the lead is: are they already on something, is it inside their working day, and does the day's work still fit the day.

How it handles your day

Two on one job, not two jobs

A pair sent to the same site is one visit with two people on it, which is what it actually is. Both names show on the office card; a bigger crew collapses to the lead and a count there, and still names everybody on the phone of whoever is turning up, because they have to recognise who they are meeting at eight.

Only one person drives the job

The second person sees the work on their own board and has no Arrive or Complete button, and the card says why rather than simply showing nothing — two people pressing the same buttons produces a history nobody can read afterwards.

The code is on the phone, not in the office

An alarm code, a key safe number or which bin goes out on a Tuesday is recorded as your own field and shown where it is needed. A code that only appears on the office screen is useless to somebody standing at a locked door at half six in the morning.

Proof for a customer who was never there

Photographs and notes taken on site stay internal until somebody chooses otherwise, and the ones you choose go out as a link rather than as attachments — so withdrawing one actually removes it from the copy sent a fortnight ago.

A round that rebooks itself

A weekly or fortnightly clean at a price already agreed books its next visit on its own. A deep clean somebody has to say yes to again does not, and is put on a call list instead, because booking work nobody has agreed to pay for is how a diary fills with arguments.

Questions, answered

Can I put two cleaners on the same job?

Yes, as one visit with both of them on it. Each extra person is checked for a clash, for their working hours and against how full their day already is, and moving the visit re-asks all of it — free on Monday is not free on Tuesday.

Where do I keep alarm codes and key safe numbers?

As fields you define yourself, shown in the places you choose. They are deliberately not switched on everywhere by default, because the half of your records that matters at a locked door is not the half that matters at a desk.

How does the customer know we have been?

Photographs and notes against the visit, and the ones you mark for sharing open on a link that reads live. Nothing a cleaner photographs reaches a customer unless somebody has said it should.

Does it handle weekly and fortnightly contracts?

Yes — the next visit is booked automatically at the agreed price, to the same people where you want it. Changing the round changes what is booked from then on rather than rewriting what has already happened.

What about a one-off that turns into a regular?

Set the interval when the job is finished and it carries on from there. Until then it stays what it was: a single job, invoiced once, with nothing assumed about next month.

How much is it?

£29.99 a month for the whole business — every feature, every person, no add-ons. 60 days free and no card to start.

Before you start

When you sign up you are asked what the business does. Pick Cleaning Services — the app uses it to decide what to show you, so the screens arrive already suited to the work rather than needing switching off one at a time.

The arithmetic behind this is free to use without an account — try the hourly rate calculator, which runs the same code the invoices do.
