Add a field of your ownNew

A gate code, a key safe, a boiler model — anything your trade keeps that we have no box for, and where it shows up.

Adding a field, and choosing where it shows — the part that matters.
What is said in this recording

Most businesses never need this. But every trade keeps something the next one does not, and putting it in the notes is not the same as having it — a note cannot be made compulsory, cannot be searched properly, and above all cannot be put where somebody actually needs it. A field can.

Step by step

  1. 1

    Settings, then Your own fields.

  2. 2

Add a field and say what you call it.

“Gate code”, “Key safe”, “Boiler model”, “Their account reference”.

  3. 3

Pick what kind of answer it takes.

Text, a number, a date, yes or no, or one of a list you set. A list stops three people spelling the same boiler three ways.

  4. 4

Say where it should appear — and this is the important one.

The customer record, the engineer’s job card, the price list, or more than one. A gate code is close to useless in the office and decisive stood outside a locked gate at seven in the morning.

  5. 5

Tick “must be filled in” if a customer cannot be saved without it.

Only offered on the customer record — see the note below.

Worth knowing

Required never blocks somebody on site

It applies to the customer form and nowhere else. An engineer is stood in somebody’s kitchen with cold hands, and a compulsory box between them and finishing the job is how a job gets finished in the van an hour later, or not recorded at all. The office can fill the gap afterwards.

Renaming a field keeps every answer

Answers are stored against the field itself rather than against its name, so changing “Gate code” to “Access code” costs nothing. That is also why a field is switched OFF rather than deleted: everything recorded against it stays, and comes straight back if you switch it on again.

If every trade needs it, tell us instead

A field that belongs in the product should be built into it properly — designed once, working on every screen, included in the reports. This is for what is genuinely yours. Without that line the customer form is forty boxes within a year and nobody can tell which three matter.

A price list field is what an import keeps

Columns a spreadsheet carries that TaskMyJob has no box for — a bin location, a lead time, a pack type — are matched to your price list fields by name when you import. Anything still unmatched is named back at you rather than dropped quietly.
