For appointment-based firms
Appointment and contract software for professional firms
How a matter actually runs
The first meeting
Booked wherever it happens
In your office, at the client's, on the phone or over video. A remote appointment needs no address and is on nobody's route, so your diary stops pretending every meeting is a journey.
Before the work starts
The engagement letter, and the money on account
Send the letter as a real attachment the client can keep, get it signed where you placed the signature line, and take the payment on account at the same time.
As the matter runs
Billed in stages, not in one lump at the end
A fixed fee split into the stages you agreed, each one invoiced when you reach it, with the balance absorbing the rounding so the total is exactly the fee.
The document is the work, so it is treated like it
Sent as an attachment, never a link
Nothing goes out unless you chose it
Signed where you put the line
And the proof is a page of its own
Who this suits
Solicitors
Architects and planners
Accountants and bookkeepers
Consultants and surveyors
What it is not
TaskMyJob is not regulated practice software. It does not run client accounts, it does not do trust accounting, it is not SRA-regulated, and it files nothing with Companies House or HMRC on your behalf. It handles the appointments, the documents, the signatures, the fees and the money coming in. Your practice management and your compliance obligations stay exactly where they are.
Questions, answered
Can an appointment be a phone call or a video meeting?
Yes. A booking is at the client, at your own premises, by phone or online, and the remote ones are on nobody's route — no address is needed, no travel time is added and they are left out of the travel report. A practice that never leaves its office is an ordinary case rather than something to work around.
Can I send the engagement letter and the invoice together?
Yes. Documents travel with a quote, an invoice or an appointment as real email attachments rather than links, because the point of an engagement letter is that the client keeps a copy to forward, print or file. Nothing goes out unless you marked it as the client's, and anything too large for the message is linked in the body rather than quietly dropped.
Can I get a document signed?
Yes, and you choose where on the page the signature sits — you click the line on the PDF and the block is placed there. A record page is always appended with the exact wording that was agreed, the time, the IP address and the device, because a stamp carries a name and a date and that is not the same as proof. Only a PDF can be drawn on, so a Word file gets the appended record page alone.
Can I take money on account before I start?
Yes. A fixed fee can carry a payment on account, or a schedule of stages through the matter with the balance at the end. The last stage is always the remainder rather than a percentage, so a fee billed in thirds never totals a penny more than it was agreed at.
Can I keep a card on file for an annual fee?
Yes, with the client's agreement, and they are told in writing exactly what they are agreeing to. The next year's fee is charged as the invoice goes out, and a charge that fails tells somebody rather than failing quietly.
Can I record a matter or case reference against the work?
Yes. You define your own fields — a matter number, a planning reference, a client's file number — and choose where each one appears. A field is keyed by its identity rather than its label, so renaming it later does not detach everything already recorded against it.
Is this regulated software for a law firm or an accountancy practice?
No, and it is worth being plain about it. TaskMyJob does not run client accounts, it is not SRA-regulated software, it does not do trust accounting and it files nothing with Companies House or HMRC on your behalf. It handles the appointments, the documents, the engagement letters, the fees and the money coming in. Your practice management and compliance obligations stay where they are.
