Decide who can price extra workNew

Your team can always flag work they find on site. Whether they can put a price on it is yours to choose.

What is said in this recording

When somebody finds more than was quoted, there are two separate questions: can they raise it, and can they price it. Raising it is always theirs — they are the only one stood in front of the problem, and a photograph taken then is worth an hour on the phone a fortnight later. Pricing it is a commercial decision, and this is where you make it.

Step by step

  1. 1

Go to Settings, then How you work.

  2. 2

Find “When your team finds extra work on site, who prices it?”.

  3. 3

    Anyone can price it.

What the app has always done, and still the default. Whoever is on site prices it and sends it to the customer themselves. Fastest, and right for a team you trust with your rates.

  4. 4

    Your price list only.

They add the work on the spot, but pick it from the rates you have set rather than typing a figure. They can still get the customer’s answer while they are standing there, which is the whole value of catching it on site.

  5. 5

    You price it.

They describe the work and photograph it; nothing reaches the customer until you have put a price on it and sent it. Slower, and no price is ever given that you did not set.

  6. 6

    Save.

Worth knowing

It never stops anybody raising the work

Whichever you pick, anyone on site can still add what they found and photograph it. Gating that would lose you the work, which is the opposite of the point.

You are never restricted by it, and nor is your office

This governs employees. If you run the business you price your own work exactly as you do now — so a one-person business can leave this on any setting and never notice it.

Your team is told, rather than finding a box missing

If you price it yourself, the form on their phone says so in words: describe it, photograph it, you will price it and send it. That matters — a screen that just hides the price box invites somebody to guess a figure out loud, and then whatever you send contradicts a number the customer has already been given.

You get a notification, and the invoice waits

Work waiting on a price shows on the job page under its own heading and notifies you and anyone in the office. The job’s invoice is held back until it is priced and answered, so you cannot accidentally bill the old total and lose the addition.

A price from your own list does not wait for you

On “your price list only” the request goes straight to the customer, because a rate you set needs no second opinion from you. Only “you price it” holds anything back.
