What is said in this recording

If your trade issues certificates — a commissioning checklist, a handover form, something your scheme or your insurer asks for — you can build them here and your engineers fill them in on the job. You write the questions, and you change them yourself when the rules change. This is an extra feature: if you cannot see Certificates & forms in Settings, it is not switched on for your account.

Step by step

  1. 1

Open Settings, then Certificates & forms, and read the terms once.

They say plainly that the forms are yours and their content is your responsibility. You accept once, by name, and the library opens.

  2. 2

Press Start a new form, give it a number and a name.

The number is whatever you call it — SF 309, EL-1, anything. It is printed at the top.

  3. 3

Add a section, then add your questions to it.

A section is a heading on the paper form. Most forms need two or three: the job details, the checks, and the declarations.

  4. 4

For each question, pick what kind of answer it takes.

Tick item gives Yes / No / N/A with a remarks box, which is how a numbered checklist row works. The rest are one line, several lines, a date, a number, yes-or-no, pick-one, or a signature block.

  5. 5

Tick Needed to sign on anything that must be answered.

Nothing is ever required to SAVE — an engineer in a basement must not lose what they typed. It is checked once, when somebody signs.

  6. 6

Give the version a label and press Save as a new version.

Use whatever your paper form prints in its footer — “Version 3 Issue 2: June 2026”. That is what your scheme audits against.

  7. 7

On a job, choose the form from Add a form and press Add.

Use it again to add another. Four flats on one job is four copies of the same form.

  8. 8

Open it and fill it in — on the office page or off the engineer's own board.

The customer, the site address, the phone number, the date and the engineer are already filled in from the job.

  9. 9

Press Save draft as often as you like, then Sign & finish when it is done.

If anything required is still blank it refuses and tells you which item to go back to.

Worth knowing

A signed certificate cannot be edited

That is the point of one. If something was ticked in error, press Ask to amend and say why; an owner or a manager allows it, and what the form said before is kept. Office staff cannot allow it — an authorisation everybody holds is not an authorisation.

Changing a form never changes one already signed

Saving the master writes a NEW version. Jobs get the current one from then on; anything already signed keeps the wording it was signed with, so reprinting a certificate from two years ago reproduces the document that was signed.

Renaming a question keeps the answers

Answers are stored against the question, not against its wording, so rewording item 12 or renumbering the form does not detach anything already recorded.

Stop offering a form rather than deleting it

Press Stop offering and it disappears from the list on a job. Everything already signed against it stays exactly where it is and stays readable.

The form is yours, and so is what it says

TaskMyJob supplies the screen and keeps the record. Whether a form meets your scheme, your insurer or the law — and whether what an engineer ticked is true — is yours. An example form we install for you is a starting point: check it against the standard you work to before you use it.
