Send an invoice laterNew
Set an invoice you have raised but not sent to go out on the day you agreed — the first of the month, or once the site is signed off.

What is said in this recording
Finishing a job normally raises the invoice and emails it straight away, which is what you want on most domestic work. Commercial customers often agree something different — bill on the first, or not until the site is signed off. Raise it when the work is done, then give it a date and it goes by itself rather than depending on somebody remembering.
Step by step
- 1
Open an invoice you have raised but not yet sent.
That is one with no due date on it — raising an invoice from a job does not email it. If it has already gone to the customer, Resend is what you want instead, and Schedule send is not offered.
- 2
Press Schedule send.
It sits next to Send invoice at the top of the page.
- 3
Pick the date and the time, then press Schedule.
Dates are dd/mm/yyyy and the clock is 24 hour, whatever your phone or computer is set to.
- 4
Check the blue panel on the invoice.
It reads “Sends by itself on…” and is the thing to look for when you come back to the page later. The invoices list shows the same date on the row.
- 5
To change your mind, press Change schedule and then Cancel schedule.
The invoice is left exactly as it was — raised, and still not sent.
Worth knowing
The customer gets nothing until the moment it goes
No email, no due date and no copy of the invoice. That is deliberate: an invoice nobody has seen is still an invoice nobody has seen the day before it sends.
The due date is worked out when it goes, not when you set it
Schedule an invoice four weeks out and it still arrives with your normal payment terms running from the day it lands. If the due date were stamped when you set the schedule, the customer’s first sight of the invoice would be an overdue one.
It goes out on the hour, or shortly after
The send runs every hour, so an invoice set for 09:30 goes out between 09:30 and 10:00. Set it for the hour if you want it to the minute.
Cancel the invoice and the schedule goes with it
Nothing is sent for work that is no longer happening. The same is true if you send it by hand in the meantime — it will not go a second time.
Extra work waiting on the customer holds it back
If the customer has not yet answered about extra work found on the job, the scheduled send waits and tries again on the next run, exactly as it does when a job is completed. The activity trail says so rather than going quiet.
What this does not do
It schedules one invoice at a time. It will not bill a customer’s whole month as one document, and it is not a monthly account — that is a separate piece of work. It also does not put a customer on different payment terms; the due date follows your usual ones. An invoice that has already gone out cannot be scheduled, only resent.
