Your first job, all the way roundNew
Quote, booked, done, invoiced, paid — the loop everything else hangs off, followed once on one real job.
Written 27 October 2026
The card at the top of your dashboard follows ONE job from the quote to the money landing, and it stays there until that job has been paid. It is not a tutorial you can get wrong — it reads your real records and tells you the one next thing. Do it once and the rest of TaskMyJob makes sense, because every other screen is a bigger version of a step in this loop.
Step by step
- 1
Build a quote.
Everything hangs off a quote: the job, the diary entry, the invoice and what the customer is shown all come from it. Pick a customer, add the lines, save.
- 2
Send it to the customer.
They get a link rather than an attachment, so what they open is always the current version — and you can see that they opened it.
- 3
When they say yes, mark it accepted.
Most customers ring or text rather than pressing the button themselves, so marking it accepted yourself is normal. That is the moment it becomes a job.
- 4
Put the job in the diary.
Give it a day, a time and a person. That is what puts it on the engineer’s phone and what sends the customer their confirmation.
- 5
Mark it complete once the work is done.
The engineer can do this from their own phone, with photos and a signature if you want them. Completing it is what makes it ready to invoice.
- 6
Raise the invoice, and send it.
What was agreed becomes what is owed. From here it is chased for you — you do not have to remember it.
Worth knowing
The card tells you when the next move is NOT yours
While the quote is sitting with the customer, or the work is booked for next Tuesday, or the invoice is out, there is nothing for you to do — and the card says so rather than dressing it up as a task. Chasing somebody on the morning a quote went out is not a job.
It follows your first quote, and it does not jump about
Build a second quote and the card stays on the first one. If that first quote is declined it moves on to the next live one, because a quote somebody said no to is an ending rather than something to keep staring at.
It disappears for good, and does not come back
Once one invoice has been paid the card is gone. It will not reappear when you take on your hundredth job — the dashboard then leads with whatever is most pressing instead.
You do not have to do them in this order
Nothing here is enforced. You can raise an invoice with no quote, book work that was agreed over the phone, or complete a job you never scheduled. The card shows the ordinary path, not the only one.
