What is said in this recording

Booking work and looking at what is booked are two different jobs, and this is the second one. The diary shows everybody's week on one screen, so you can see who is full, who has a gap, and what is coming before somebody rings to ask.

Step by step

  1. 1

Press Diary in the menu along the top.

It opens on the week. There is also a card called The week ahead on your dashboard with an Open the diary link, if that is where you start your day.

  2. 2

Read down the left for your people, and across for the days.

Every booking sits in that person's row on the day it happens. A day with nothing on it says Nothing booked rather than sitting empty, so a gap is something you can see rather than something you have to notice.

  3. 3

Check the hours under each day.

A cell with work in it totals the time booked — 7.5h, 2h — so a day that is full and a day with one short call on it are told apart without adding anything up.

  4. 4

Move with Previous week, This week and Next week.

The dates above the grid say which week you are looking at.

  5. 5

Press Month for the longer view.

The whole month, with every booking on its day. Today, Previous month and Next month move around it, and Week brings you back.

  6. 6

Press any booking to open the job.

From there you can reschedule it, change who is on it, or see what has already been done.

Worth knowing

On a phone it is a list, not a grid

Seven columns of names will not fit a phone, so the week becomes a day-by-day list with the engineer and the customer against each booking, and the month becomes a row of coloured dots you tap to see that day's work in full.

The colours are who, not what

Each person's work is drawn in their own colour, with a key underneath naming them. Nobody has to set this up — a colour is given out automatically and stays put when you take somebody on. If you would rather choose, Settings → Team has a Diary colour against each person who goes out.

Two people can end up the same colour

There are six colours, so on a bigger team some are bound to be shared — and even on a small one it can happen by chance. Settings → Team says "same as" and names the other person against both of them, so you can give one of them a different colour in two taps. Nothing changes on its own: a colour you can read today reads the same tomorrow.

Work with no time on it is not here

The diary shows what is booked. A job that has been agreed and never put in anybody's day has no date to draw, so it is on the Needs booking tab on the Jobs page instead — which is the list to work from, rather than the diary.

Office staff need to be given it

Seeing the whole team's diary is one of the things you hand out per person in Settings → Team. Somebody who goes out always sees their own work without being given anything.
