Switching

Moving over without losing a week

Whether you are on another job management system or a spreadsheet and a notebook, the question is the same: does my stuff come with me? Here is the honest answer, including the parts that do not.

Four steps, over a few weeks rather than a weekend

1

Bring the customers in

From your phone's contacts, or a CSV out of Outlook, Google or a spreadsheet. You see what was read before anything is saved, and you choose who to add.

2

Bring the prices in

Your price list or a wholesaler's file, as a CSV. It asks whether the figures include VAT rather than guessing, because that one question decides every quote you write afterwards.

3

Start new work here

New enquiries and new jobs go in from a date you pick. Anything already underway finishes where it started, so there is no day where nobody knows which system is right.

4

Let the old one go when you are ready

Keep it readable for as long as you need the history — six years for VAT, usually. Nothing forces that decision on day one.

What comes across, and what does not

Comes across

  • Customers and contacts — vCards from a phone, or a CSV from Outlook, Google Contacts or a spreadsheet. Names, numbers, emails and addresses.
  • Your price list — services, parts and part numbers from a CSV, with a straight question about whether the prices include VAT.
  • Your documents — terms, contracts and anything else you send, uploaded and reused.

Does not come across

  • Another system’s history. Old jobs, quotes and invoices do not import. Keep the old system readable for as long as you need it — six years for VAT — and start new work here.
  • Your accounting history. The link to Xero, QuickBooks or Sage starts from the day you connect it; it does not go back and post what came before.
  • Card details. Nobody can export those, here or anywhere, and a customer who wants to keep a card on file agrees to it again.

If you are coming from one of these

Tradify, ServiceM8, Jobber, Commusoft, Simpro, Powered Now, YourTradebase — or a spreadsheet, a paper diary and a WhatsApp group, which is still the most common thing people move from. We will not tell you what any of those do; you already know. What is worth knowing is that all of them let you export your contacts, usually as a CSV, and that is the file this reads. The rest is a date you pick to start working here.

If you want to see whether it suits how you actually run, the guides and recordings are public — no account needed to watch somebody do the thing you are wondering about.

Questions, answered

Can I bring my customers across?

Yes. Straight off a phone as vCards, or as a CSV — the bulk export from Outlook or Google Contacts, or a spreadsheet you typed yourself. Every exporter names its columns differently, so the import reads the common spellings and shows you what it found before anything is saved. You pick who to add rather than getting all two thousand.

Can I bring my prices across?

Yes, from a CSV — your own price list, or a wholesaler's price file. It asks whether the prices in the file include VAT, because getting that wrong overcharges on every quote from then on and nobody notices until an accountant does. A row with no price comes in at zero rather than being dropped.

Can I bring my old jobs, quotes and invoices across?

No, and it is better to say so now. There is no import for another system's history. What most businesses do is keep the old system readable for as long as they need it — for VAT, that is usually six years — and start new work in TaskMyJob from a chosen date. Your history does not have to move for you to move.

Will I have to stop working while I change over?

No. Nothing switches off anywhere else when you start, so plenty of people run both for a few weeks: new enquiries and new jobs go into TaskMyJob, anything already underway finishes where it started. By the time the old work is done, the change has happened without a day of it.

What if I try it and it is not for me?

The trial is 60 days and needs no card, so nothing happens at the end of it unless you decide it should. And whatever you put in, you can take a full copy out — every customer, quote, job, invoice and payment as spreadsheets, in one click, with no notice period and no charge.

Do you charge to move me over?

No. There is no setup fee and no charge for importing anything. If you would rather somebody walked through it with you, ask — there is a person on the other end.

Try it on your own work

60 days free with everything switched on, and no card to start. If you would rather ask something first, there is a person on the other end.

£29.99 a month for the whole business after the free 60 days.
