Getting started

Set up your services and prices

Build a price list so quoting is picking from a menu rather than typing from memory.

What is said in this recording

Your price list is the set of things you sell, each with a price and — if you want the profit reports to work — what it costs you. Once it is in, building a quote is picking from a dropdown instead of remembering what you charged the last customer.

Step by step

  1. 1

Go to Settings, then Services & prices.

  2. 2

Press Add to create a new item.

  3. 3

Give it a name the way you would say it to a customer.

“Annual boiler service”, not “ABS-01”. This is what prints on the quote.

  4. 4

    Enter the price you charge.

If your prices include VAT, type the full price the customer pays and the app works the rest out. If they do not, type the price before VAT.

  5. 5

Enter what it costs you, if you know it.

Parts, materials, whatever you pay out. This is what makes the profit figures on the reports page real. An item with no cost is counted as unknown, never as free.

  6. 6

Save, and it appears in the dropdown on every quote and invoice.

  7. 7

To change a price later, press Edit on the row.

The box is prefilled with the price as shown on the row, so you change what you see rather than having to work backwards.

Worth knowing

Turning “prices include VAT” on does not change what you charge

It changes what the boxes and lists SHOW, from the price before VAT to the price after it. Work that billed £50 plus VAT still bills £60. Businesses see the numbers jump 20% and think their prices changed — they did not, and nothing needs re-entering.

Margin here is markup on cost

A margin of 30% means the price is the cost plus 30% of the cost. An accountant's “30% margin” usually means something different — 30% of the sale price. The reports page says which it is using.
