Cancelling a jobNew
Where the button is, what it gives back, what the customer is told — and recording why, which is the part you will want in three months.
Written 20 October 2026
Work gets called off. The customer changes their mind, it turns out to be a different job, or it should never have been raised. Cancelling takes it out of the diary and tells the customer their visit is off — and asks you why, so the job can still answer that question long after everybody has forgotten.
Step by step
- 1
Open the job from Jobs, or from wherever you found it.
Cancelling is done on the job itself rather than from the list, so it is always clear which one you are stopping.
- 2
Press Cancel job, at the top of the page.
It is the red one, next to Schedule. Nothing has happened yet — it opens a panel first.
- 3
Say why it is being cancelled.
Six reasons, and you have to pick one. They are not bookkeeping: whether the customer called it off, the work went away, or it is being re-quoted are three completely different things when you look back at a quiet month.
- 4
Add a note if there is more to it.
Optional for every reason except “Something else”, which needs one — on its own it says no more than leaving the box empty. “Rang Friday, wants it again in the spring” is the kind of thing worth a line.
- 5
Press Cancel job again to confirm.
Only now does anything change. Keep the job backs out and nothing at all has happened.
Worth knowing
The note is yours, not theirs
The customer is told their visit is cancelled. They are never told why, and there is no setting that sends it — the reason and the note are written for your office the way an engineer’s photograph of how they found a cupboard is taken for your office. Say what actually happened.
The diary time goes back, and it will not be held for you
Every visit still to come is cancelled and the time is free again, so somebody else’s work can go in it. A visit that is underway right now is closed off rather than deleted, because somebody was there and those hours were spent. If you put the job back on the books afterwards, the job returns but the slot is gone — it has to be booked again.
Nothing is deleted
A cancelled job keeps everything: its quote, its photos, its notes, the visits that did happen and anything already invoiced. The reason sits on the job page where anybody opening it can read it. Cancelling stops the work, it does not erase the record of it.
Cancelling a job is not cancelling the bill
If an invoice has already gone out it stays out. Cancel the invoice separately — an issued invoice’s total never moves, so what is no longer owed is carried by a credit note. Cancelling the invoice the other way round DOES stop the work, and the job then shows “The invoice was cancelled” as its reason.
You can put it back
A cancelled job has a Reschedule button. Pressing it puts the job back on the books and clears the cancellation — the reason, the note and the date all go, because a live job carrying last month’s cancellation reason is worse than carrying none.
Older cancellations have no reason on them
Anything cancelled before this existed reads “No reason recorded”, and says so plainly rather than showing an empty line. Nothing was guessed at and nothing was filled in on your behalf.
